ABOUT THE JOB

The Director of Supply Chain is a key leadership role at QALO, reporting directly to CEO and working closely with teams across D2C e-commerce, wholesale, finance, and customer service. This person will own supply chain and fulfillment end to end: demand planning, procurement, 3PL and carrier management, EDI and retail compliance, and customer service. They will build the operational foundation that supports QALO's growth across direct-to-consumer channels, big-box retail partners, and new product lines.

RESPONSIBILITIES 

  • Wholesale Operations & EDI Management

  • EDI Platform Ownership: Manage and optimize the Electronic Data Interchange (EDI) infrastructure, ensuring seamless data flow between retail partners, NetSuite, and the 3PL.

  • Wholesale Order Fulfillment: Oversee the end-to-end processing of all B2B and wholesale orders, guaranteeing timely intake, routing compliance, and on-time shipping to prevent retailer chargebacks.

  • Compliance Documentation: Ensure accurate routing requests are placed within retailer TMS portals, and timely EDI transmissions of ASNs and invoices.

  • B2B Account Management: Partner directly with external wholesale accounts and internal sales representatives to manage day-to-day operations, resolve shipping issues, and coordinate new product load-ins.

  • Forecasting, Demand Planning & Procurement

  • Predictive Inventory Modeling: Build and own demand planning models that balance forecasts with historical sales data across both DTC and B2B channels.

  • Stockout Prevention: Proactively issue purchase orders based on historical data, wholesale pipelines, seasonal trends, and marketing calendars to maintain optimal stock levels without over-purchasing.

  • Proactive Problem Solving: Act as an autonomous self-starter who monitors global supply chains, predicts transit bottlenecks, and enacts backup solutions before they disrupt the business.

  • Carrier Management, Imports/Exports & Financial Control

  • Contract Negotiation: Lead aggressive negotiations with shipping carriers (DHL, FedEx, UPS) and regional freight forwarders to secure deep cost savings.

  • Global Logistics Strategy: Oversee all inbound international import freight and outbound domestic/export shipping lanes.

  • Hazmat Regulation: Maintain strict oversight over Hazardous Materials/Dangerous Goods compliance, packaging, and carrier restrictions for lithium-powered electronic shipments.

  • Landed COGS Alignment: Partner closely with the finance team to audit freight invoices, tariff impacts, and 3PL fees to calculate exact, up-to-date landed Costs of Goods Sold (COGS).

  • 3PL Partner Management & Strategy

  • Vendor Accountability: Serve as the primary point of contact for our Third-Party Logistics (3PL) warehouse, holding them accountable for strict accuracy across receiving, storage, and order fulfillment.

  • SLA Enforcement: Maintain Service Level Agreements (SLAs) with the 3PL, including same-day shipping cutoffs, inventory accuracy, and dock-to-stock timelines.

  • Omnichannel Fulfillment Oversight: Coordinate daily with the 3PL to ensure smooth processing for both fast-moving direct-to-consumer (DTC) shipments and highly regulated wholesale/retail bulk routing.

WHO YOU ARE

  • Experience: 6+ years of progressive supply chain and operations leadership within a multi-channel (DTC + Wholesale) ecommerce brand.

  • NetSuite Mastery: Extensive, hands-on administrative or heavy-user experience inside NetSuite for inventory, order flows, custom reporting, and purchasing workflows.

  • 3PL Management Expertise: Proven history of successfully managing external 3PL networks, handling contract negotiations, and optimizing fulfillment operations.

  • EDI Expertise: Deep familiarity with EDI mapping, protocols, and platforms (CRSTL) routing to major big-box retailers or distributors.

  • Gorgias Proficiency: Direct experience managing customer support teams and tracking KPIs using Gorgias or an equivalent ecommerce helpdesk

  • Advanced Data Analytics: Power-user fluency in Google Sheets / Microsoft Excel. Must be highly skilled at building complex inventory models, manipulating large datasets, and translating raw data into highly actionable strategic takeaways for the leadership team.

  • Negotiation Track Record: Proven history of successfully negotiating high-volume carrier contracts and global freight forwarding agreements.

  • Core Competencies: A true self-starter mindset. Must possess a strong bias for action, the ability to build scalable systems from scratch, and comfort managing frontline support strategy alongside strategic planning.
